Companies rely on big data in the long term. At the same time, they must comply with regulations for data archiving. CSP introduces four organizational requirements that must be observed for this purpose.

Großköllnbach, October 1st 2013. Companies that pursue a consistent strategy for Information Lifecycle Management can use big data most profitably. If they are set on only handling the increasing amounts of data with additional storage capacity, however, they risk losing important data. That is what the consultants of CSP IT Business GmbH have observed. For this reason they have presented the four most important steps on the path to efficient data management and utilization. The focus is on the automated archiving of production data. It relieves the active database and ensures that all legal requirements are met in terms of long-term archiving of business-related information. At the same time, the storage capacities do not have to be continually upgraded, which results in enormous savings concerning acquisition and operating costs.

1. Analyzing life cycles of data
The IT departments or qualified consultants analyze existing data in close cooperation with the users of the departments. This results in individual life cycles for the data which take the legal requirements as well as internal policies into account. The result is a company-wide strategy for Information Lifecycle Management (ILM).

2. Removing currently unused application data from storage
Studies assume that the amount of data in companies doubles every year. The productive databases are thus constantly growing and result in high costs. At the same time, performance drops. To prevent this, all application data not currently in use is to be consistently removed from storage and placed in an archive system or physically deleted after a dual control check. Depending on the application, the database volume can thus be reduced by up to 80 percent.

3. Securely storing data that is subject to legal retention requirements
In many companies, big data obscures business-related information that must legally be stored without changes. Today it is estimated that only a third of all information is saved in the digital universe. Especially with consolidations, strategically important information often gets lost because it is deleted prematurely due to high costs. Independent standard solutions for database archiving stores this data in a revision-proof storage system, taking into account all compliance regulations.

4. Saving old data in open standards so that they can still be accessed
If data is removed from productive databases, it should be stored in a manufacturer-independent format. The company retains data sovereignty and avoids unwanted dependency on the database or archive provider. If the archive provider also supports standardized interfaces such as JDBC, this ensures that the data can be used across different information platforms such as BI applications.
